ABOUT

Scheduling conflicts – these are two words that send shivers down the spine of shift managers everywhere. It is also what led Ryan Fyfe to develop Humanity, an online employee management and scheduling software. In the mid-2000s, Fyfe was an enterprising youngster who wore many hats. He graduated from high school a couple of years early, started a digital marketing company, and did a host of part-time jobs on the side to make ends meet. As if that wasn’t enough, he was also competing for a place in the Canadian national track and field team and was a national champion in the half-mile division at the time.

As one can imagine, juggling these different roles meant that Fyfe walked a tightrope when it came to his schedule. Any misstep and his itinerary would come crashing down. He inevitably found himself in scheduling tight spots more often than he liked, and sometimes even resorted to paying others to cover his shift so that he could take part in an athletic competition or focus on his business. These early troubles brought the importance of scheduling into focus for the young entrepreneur.

Fyfe looked around online to see if there was any software that could help. At the time, employee scheduling was a nascent technology, and though there were a few players, they were all very niche-oriented. Having been at the receiving end of scheduling troubles and recognizing the considerable gap in the marketplace, the youngster took it upon himself to design a scheduling application that could be used by different businesses. His first iteration was a crude offering that looked a whole lot like Google Calendar. Fyfe worked on this continuously and released a better version in 2009 called ShiftPlanning. Humanity is the retooled, revamped, and more sophisticated version of that.

As mentioned before, Humanity has a minimum monthly amount of $100 per month for monthly subscriptions and at a discounted rate of $80 per month for annual ones. 1. Scheduling

Creating a schedule on Humanity is a simple process. The software’s scheduling dashboard gives you a calendar-like layout. You can customize this to show daily, weekly, bi-weekly, or monthly views. In addition, you can view schedules by employee or position, or completely change the layout to a list view if you want. Furthermore, the software allows managers to color-code each department, service area, or position differently for easy distinction. Merely clicking on a cell allows you to create a shift, complete with timing, service area, and employees. Once a manager creates and publishes a shift, the platform automatically notifies all assigned employees.

Editing and moving shifts are similarly easy due to the app’s drag-and-drop functionality. Moreover, the software allows you to copy everything from a single shift to a week or months’ worth of shifts directly into another timeline, which is a useful time-saving feature that businesses with set shifts will appreciate. Another labor-saving tool is Humanity’s auto-scheduling feature. This tool, if enabled, automatically fills in empty slots with authorized and available employees. Importantly, this AI-backed feature factors in your business policies and custom prioritization settings while doing this. For example, you can configure the system to assign shifts to full-time employees first.

2. Time And Attendance Tracking

Humanity’s time clock module allows employees to clock in and out using a web browser or their mobile apps. Alternatively, if buddy punching is a problem at your workplace, you can use the software’s ‘Humanity Station’ feature to eliminate this. The feature works best on iOS and Android tablets. Using it, you can set up a check-in terminal for employees. The app takes a picture of every employee punching in and out, ensuring, in effect, that no one can do so for another colleague.

Additionally, managers can restrict check-in access by location using static IP addresses, which not only ensures that an employee must be physically present at the job location to clock in but also makes it easier for admins to manage multiple locations. Furthermore, businesses with a lot of remote teams can use the software’s GPS tracking feature to confirm an employee’s location. This feature, if enabled, will grab an employee’s browser location when they clock-in or out.

3. Payroll

The software’s payroll module is a misnomer, in that you cannot use it to run payroll. Instead, the module has the tools to help you generate accurate timesheets that can then be exported to a third-party payroll processing app. Humanity allows you to configure rate cards for your employees so you can factor in overtime or peak-hour rates. Once set, the software automatically includes these along with the recorded time and attendance data in its timesheet calculations. Another time-saving feature here is the app’s auto-approval settings. These allow you to create custom rules to automatically approve timesheets, thereby speeding up the payroll process even more. The software can currently generate timesheets in 37 different currencies.

4. Leave Management

By default, Humanity comes with only one leave type, i.e. vacation leave. However, you can create as many custom leave types as your business requires. With each new leave type, you can allow full or partial day requests and set limits on the number of staff that can book it at a time. What’s more, the software even allows you to make it mandatory that your staff book holidays well in advance, an excellent way to avoid last-minute gaps in your shift schedule. Additionally, you can configure custom PTO policies that suit your business and the software will automatically track each employee’s PTO accrual balance for you.

5. Compliance Management

Compliance management is a crucial feature of any workforce management software. While not all-encompassing, Humanity has a few key features that help protect you from liability. This includes the ability to set breaks and overtime rules. The software comes with 5 predefined break rules. These cater to the states of California, Massachusetts, Oregon, and Washington. Besides these, you can create custom break rules that adhere to your local, state, and federal regulations. On overtime rules, Humanity has California’s unique laws prebuilt into the system. As with break rules, you can create as many unique daily or weekly overtime rules as you want.

6. Employee Self-Service

Humanity has a robust self-service module that allows employees to do everything from clocking in and out themselves to accessing their schedules and adjusting their availability. Employees can also use their portals to request time off or pick up open shifts. Also, they can trade shifts with other team members or release their shifts for other employees to grab, all with minimal to no supervisor involvement. In case of an emergency, the software also allows employees to altogether drop their shift. In such cases, the concerned manager will be notified immediately.

7. Forecasting

You can use the software’s forecasting module to project your staffing needs throughout the day and week. This works by leveraging any historical data you have collected on your business, such as sales data, foot traffic data, POS metrics, or call volume information. Humanity allows you to import these vital KPIs into the system. The app then uses this information to map out your peak and off-peak business hours so you can schedule your employees accordingly. This ensures that you are never over or understaffed at any time. Furthermore, once you have run a few weeks’ or months’ worth of schedules, you can compare the data with the forecasts to see if the software’s projections are correct or need tweaking for your business.

8. Reports

With close to 25 prebuilt reports in 4 main categories, Humanity boasts of a robust reporting tool. The main categories are employees, timesheets, schedules, and forecasts. Importantly, all reports are updated in real-time so that managers can keep track of the efficacy of their business practices on a day-to-day basis. Humanity’s predefined reports can be customized by filtering metrics such as dates, locations, employees, or positions. If these do not satisfy you, the software allows you to create custom reports that include the data fields and columns you want. Any report, custom, or otherwise, once generated, can be saved for later viewing or exported as a CSV or XLSX file.

INTEGRATIONS

At present, Humanity offers only around 25 integrations. While this is better than its initial offering of only nine integrations, this department still needs some beefing up. To make matters worse, some of the integrations are solely dependent on your subscription. For example, only enterprise plan users get access to the software’s HCM integrations. Besides, while Humanity does have open APIs, they are only available to subscribers of the top-tier plan. Here’s hoping that the company continues to improve in this sphere.

Whether this is enough for businesses to overcome the hurdle of a higher investment is, of course, highly subjective. What’s good is that the company appears flexible on that front. For companies that can afford the minimum monthly payment, there’s no doubt that Humanity, on the strength of its robust feature set and responsive customer service, deserves a look. If nothing else, you can certainly take advantage of the software’s generous 30-day free trial to see if it is worth it or not.
